What is a Prompt and how do I create one?

Using AI Prompts to spark more board participation

NOTE: Board prompts are not yet available on Business, Pro, or Enterprise plans. However, if you'd like this feature turned on for your site, please reach out to help@kudoboard.com with that request.


What is a Prompt?

A Prompt is a short question or instruction that is generated with AI and appears on a Kudoboard post to guide contributors when they add their messages. Prompts are created by the board creator and appear as a pinned post at the top of the board. Here's an example!

Helpful things to know

  • Prompts are always added as pinned posts.
  • Only board creators can create, edit, or delete Prompts.
  • Contributors and recipients can dismiss the Prompt view, but it won’t affect the board itself.
  • Prompts are designed to guide contributors, not limit what they can write.

Why use Prompts?

Prompts help:

  • Reduce “what should I write?” hesitation, especially for commonly sent boards such as Birthday board and service anniversary boards.
  • Increase participation on boards.
  • Encourage more meaningful, personal messages.
  • Make boards feel more cohesive and intentional.

Creating a Prompt (Board Creator only)

Step 1: “Create a Prompt”

When creating a board, as a board creator, you will see a Create a Prompt option in the Add a Post text editor. Only board creators can create or change Prompts.

Step 2: Choose how to create your Prompt

You have three options...

Option 1: Insert a suggested Prompt

  • A randomly generated Prompt along with board instructions, appears in a highlighted container.
  • Click Insert to use it as-is.

Option 2: Try another suggestion

  • Click Try another to generate a new Prompt instantly.

Option 3: Create a custom Prompt

  • Click Custom to open the AI Prompt generator.
  • Tell us a bit about the recipient (for example: “Maria loves flowers and springtime”).
  • Choose a response format:
    • Multiple choice (default)
    • Short answer
  • Click Generate Prompt to see a personalized suggestion.
  • You can hit try again and it will retain the context you provided.

Step 3: Insert, edit, remove

When you click Insert:

  • The Prompt is added to the post editor.
  • The text becomes fully editable. If you would like it to remain a prompt that contributors and recipients can see, you need to edit it within the container the prompt was generated in.

When you want to delete the Prompt:

  • The prompt can be removed altogether by clicking into the Prompt, then clicking the "x" on the container the Prompt is in.
  • You will need to manually delete the board instructions if you would like to remove these.

Replacing an existing Prompt

You can edit, delete, or manage the Prompt just like any other post after it’s added to the board as a post.

If you try to create a new Prompt after one already exists, you’ll see a warning letting you know the current Prompt will be deleted before continuing.

What contributors see

When someone visits a board with a Prompt for the first time, they’ll see a short welcome message highlighting the Prompt and inviting them to contribute.

When they add a post:

  • The Prompt appears at the top of the message editor.
  • Contributors can write their message below it and add images, GIFs, or videos like they normally would today.
  • They can close the Prompt container if they want to focus only on their message.

What recipients see

When a recipient visits a board with a Prompt for the first time, they’ll see the Prompt that contributors responded to, making it easier to respond to the Prompt in their thank you message .

  • The Prompt appears at the top of the Thank You message editor.
  • The recipient can write their message below the Prompt and can add images, GIFs, or videos like they normally would today.
  • They can close the Prompt container if they want to focus only on their message.

Which boards support Prompts?

Prompts are available on most Kudoboard occasions, with a few exceptions :

Available

  • Birthdays
  • Work anniversaries
  • Most other standard occasions

Not available

  • Demo boards
  • Memorial boards
  • Sympathy & Get Well boards
