What is a user's Circle and how does it help with invitations and board automations?

A user's Circle is the individuals who are closely associated with that user and would most likely be invited to contribute to boards created for that user, such as their manager, their manager's manager, their direct reports, etc. 

Circles are only available on Enterprise plans connected to HRIS, as we use your HRIS data to suggest individuals to invite.

How do I edit Circles settings?

As an Org Admin, log in to your plan and navigate to the Admin Panel:

Under the Settings tab, you'll see Enable hierarchy-based Circlestowards the bottom of the settings page. Select Yes to turn this feature on:

Under this option, you'll see Who should be included in a user's Circle? Here, you can check and uncheck the following options to determine who is included as part of your users' Circles. Once you've made your selections, be sure to scroll to the bottom of this page and click Save changes:

Note: Recipient's manager will be checked by default and cannot be unchecked.

If you have automations enabled for Birthdays, Work Anniversaries, or New Employee Welcomes, you'll see the below pop-up letting you know that your changes will affect invitees on boards created as part of these automations: 

Automations & Circles

As an Org Admin, you can edit invitees for each enabled automation on your plan by navigating to the Automations tab of your Admin Panel, clicking the gear icon to the right of an automation, and choosing Go to settings:

Scroll down to Contributor invitations and from the dropdown, you can choose from the following options, including Invite recipient's "Circle" (we'll automatically select this option for you when you enable Circles):

Below this option, you'll see Circle notifications where you can customize what email notifications are received by the invited Circle members for all automated boards created via that automation:

Editing/Creating Circles via Groups

In the Admin Panel, under the Groups tab, you'll see a tab labeled User circles. Here, you can search for a user to see who is currently part of their Circle. You can choose to use the Circle that was created based on your org's hierarchy, or you can create a custom Circle by selecting Custom and entering names/emails. Click Save after making any changes:

Invites & Circles

With Circles enabled, you can choose to invite a recipient's circle to contribute to their board instead of typing in those names individually. In the Invite Contributors menu, under Email, we'll suggest the recipient's Circle to you. Simply click, for example, Wilma's "Circle" to invite them: 

You'll see a preview of those in the recipient's Circle and can remove anyone you'd like by clicking the x to the right of their name. Click Confirm group to officially add their Circle to the invite list: 

Add any others to the invite list that you'd like, include an optional message to contributors, etc., then click Send invites or Schedule send to send the invites out at a later date:
