Your internal admins have shared this article with you because they've set up board automations on your Kudoboard site. They plan to use this feature to automatically create birthday, work anniversary and/or new employee welcome boards for people within your organization and you're a key player in this process.
How it works
How far in advance of the event will the board be created?
Boards will automatically be created 1, 2 or 4 weeks before employee milestones (based on the choice made by your internal Kudoboard admin).
What will these boards look like?
These boards are based on a template board set up by your internal Kudoboard admin. They may have existing posts on them when they're created if that's how your admin set up the automations template.
You will not need to modify the look and feel of the board (title, background, etc), since the template has already been intentionally designed by your internal team.
What's my role as a manager?
First, ensure your email notifications are turned on (gear icon> account> email preferences> ensure Core Emails is selected).
Once a board is created in advance of the milestone event using automations, as the board recipient's manager you will receive an email notification to let you know the board has been created.
This is what that email looks like:
Once you receive this notification, it's your responsibility to forward the email directly to your team so they can post on the board before it's automatically delivered to the recipient. You can also copy/paste the board link in Slack/Teams to invite others.
Do I have to deliver the board?
These boards will already be set up for delivery, and typically there will be no action required from managers to ensure recipients receive their boards.
However, your internal admin can choose not to automatically send "low post" boards (where they determine the number of posts needed on a board for it to be delivered automatically). In the case that a board does not meet the minimum post count needed for an automatic delivery, you as the recipient's manager will be notified. Once you deem the board is ready for delivery, you will need to deliver the board manually.
Important details to note:
- Users can opt out of automatically-generated boards, if they prefer not to be recognized in this way.
- Review the full feature details here.
- Slack/Teams deliveries are not currently available through automations.
For internal admins (details to send managers):
- How many days in advance will boards be created?
- How many posts need to be on a board for it to be automatically delivered?
- Which automations did you enable: birthday, work anniversaries, new employee welcomes?
- Any additional context as you see fit.
